Audio/Visual Arrangements


Microphones: During most presentations, Ed strongly prefers to walk around and not be tied down to a lectern. He will need a microphone when addressing gatherings of 30 or more people. Here are his microphone choices in order of preference:
  1. Wireless lavaliere (small mic that clips to Ed's tie with a battery pack that clips to his belt)
  2. Lavaliere with cord (since Ed walks around, please ensure the cord is a minimum of 25 feet in length measured from the front of the stage)
  3. Cordless handheld
  4. Handheld with cord (again, please ensure the cord is a minimum of 25 feet in length)
For groups of 50 or more, please also provide one or more (depending on the size of the room) floor microphones so that audience members are able to be heard when they ask questions.

Video playback: We require a VHS player with a monitor. Unless the room is small, multiple monitors may be required. An LCD projector capable of playing VHS tapes is another option; in this case, we will also need a screen.

Computer/projector: Ed normally uses his own Windows PC laptop with his PowerPoint presentation already loaded. You need to provide an LCD projector, screen, and the cables that connect the computer to the projector. Please also provide a mini-jack cable that links to the room's sound system in case Ed decides to play audio or video clips from his laptop.

Position the screen in the right front corner of the room, when possible.

Ed will need one table in the front of the room for this equipment. Please provide bottled water and a drinking glass on this table. Also be sure there is a power strip for his laptop under that table.

Flip chart: Ed often writes down audience ideas during his presentations. Please supply a flip chart with a large pad of blank paper; the pads with Post-it style backing work best, so he doesn't need to fumble with masking tape. He also needs wide-tip markers in blue, black, and red.

Lighting: The audience should be in the brightest light possible. This allows Ed to monitor their reactions and maximizes their attention span. Only the lighting near the screen should be dim. Facilities staff should be prepared to unscrew any light bulbs near the screen if that lighting is not controlled by a separate switch.

Temperature: Aim for a cool room as this temperature best facilitates learning and attentiveness. A reading of 68 to 70 degrees Fahrenheit (20 to 21 degrees Celsius) is ideal.

Table: If Ed will not be using his laptop when speaking to your group, please ensure there is a small table at the front of the room for his use, furnished with bottled water and a drinking glass.

Recording: We welcome your videotaping or audio taping of Ed's presentation if you notify us at least two weeks in advance. We require prior written authorization; for a release form, contact Celeste Heath at (540) 955-0600 or via e-mail. Please respect the fact that we cannot accommodate last minute requests to record Ed's presentation.
