Room Set Up

Seating: Ed prefers classroom style with tables in most situations. Tables and chairs should be set up in chevron style with each seat directly facing center stage. This means that each row should be angled toward the center of the stage. Such an arrangement reduces the need for people to crane their necks while allowing them to see each other more readily.

A single horseshoe or "U" shaped table works well for groups of 20 or fewer.

If you must set up the tables in rounds, please limit seating to 4-5 people per table if at all feasible. Also, try to arrange chairs so everyone is facing forward.

If you must arrange the room in theater style, please allow for two aisles separating three sections of seating. In other words, avoid having a single aisle down the middle of the room. Ed would rather be face to face with his listeners, not with an empty aisle.

No matter the set up style, arrange seating so that the front row is within approximately three feet of the stage or the area where Ed will speak. Also, arrange their seats as close together as possible. This helps keep them engaged and involved.

Lectern: Ed rarely uses a lectern, preferring to walk among the audience. If other speakers on the program plan to use a lectern or your introducer plans to use one, please place it at the back of the platform off to one side so Ed will be able to walk in front of it.

Platform: A stage or raised platform is advised for audiences of 50 or more people.

Final walk through: Ed needs full access to the meeting room a minimum of 60 minutes prior to the scheduled start time of his presentation. This allows him to conduct the necessary technical checks and to ensure everything is in place. Please advise us if another event is scheduled in the room immediately before his presentation so alternate arrangements can be made.

Refreshments: If you plan to offer beverage service or light refreshments in the room where Ed speaks, please ensure this service is located at or near the back of the room. Water pitchers with glasses at each table are a good idea.

Table: Please arrange for one six-foot table in the room adjacent to the exit doors allowing us to offer for sale resources from the Barks Learning Network, when appropriate.
